How to add older financial statements to your auto budget sheet


Adding previous years of financial reports to your auto budget sheet is truly easy. See steps below.

Why might you want to do this? Your sheet will automatically pull current year data in from QuickBooks. Previous years data will help you compare year over year information, develop a budget for the current year, and see the bigger financial picture of your business.


Start Here

  1. Login to QuickBooks Online

  2. Select Reports

  3. Select either “Balance Sheet” or “Profit and Loss

  4. Change the dates to a full calendar year for the year you would like to include

    • Example: 01/01/2018 to 12/31/2018

    • Only one calendar year may be uploaded at a time

  5. Select “Months” under “Display columns by”

  6. Choose your accounting method

    • Cash or Accrual

  7. Click “Run report

  8. Click the export icon and select “Export to Excel”

    • Export icon is located to the right of the printer icon

  9. The file should download automatically. If not, save the file to your computer.

  10. Go to the upload page and login

  11. Click “Choose File” , select your desired file, then “Upload

  12. Continue to the Custom Reports section below

And that’s it! The file will take a minute or so to upload as all of your information is processed and sorted. You’ll be updated along the way.

Custom reports are required for the auto import tool to function properly. These are saved reports in QuickBooks that are emailed automatically by QB which are then processed to add your data to your account.

important notes

  • Date Range

    • For Profit and Loss: date ranges not beginning on January 1st and ending on December 31st will be rejected

    • For Balance Sheet: date ranges not ending on December 31st will be rejected

  • Accounting Method

    • Make sure you select the right accounting method for your business

    • The reports should automatically select your preferred accounting method however sometimes it does not save properly

    • Check your Accounting Method by going to the Gear Icon > Account and Settings > Advanced > Accounting > Accounting method

Simply repeat the process!

And don’t worry if you accidentally upload the same report twice. It won’t affect anything.
